Job Description:
The Mechanical / BMS Controls Estimator is responsible for reviewing project plans, specifications, and drawings to develop accurate and comprehensive estimates for mechanical systems, Building Management Systems (BMS), Building Automation Systems (BAS), and HVAC controls.
This position requires a strong understanding of mechanical and controls systems, estimating principles, project costing, and the integration of building automation systems with HVAC and other building equipment. The Estimator will work closely with Project Management, Engineering, Operations, Sales, subcontractors, and vendors throughout the bidding and project turnover process.
Essential Duties & Responsibilities
- Evaluate bid specifications and drawings for mechanical and BMS control systems, including chilled water, condenser water, glycol, refrigeration, and other mechanical systems.
- Review electrical systems as they relate to controls scope and system integration.
- Develop RFIs, clarifications, and scope reviews to ensure a complete understanding of project requirements.
- Perform accurate takeoffs and develop detailed cost estimates for controls, mechanical systems, and associated components.
- Analyze project requirements and identify potential technical challenges, labor constraints, integration issues, and other factors that could impact project budgets or execution.
- Understand low-voltage BMS controls, control system topology, networking requirements, and interfaces between controls, mechanical equipment, and building systems.
- Evaluate the integration of building automation systems with HVAC equipment, lighting controls, generators, and other building systems.
- Determine controls and mechanical scope requirements and identify integrated versus non-integrated equipment.
- Perform comprehensive bid-day analysis and scope reviews.
- Review bid requirements and identify scope gaps, discrepancies, and items requiring clarification.
- Prepare subcontractor bid packages and ensure appropriate vendor and subcontractor participation.
- Develop and maintain relationships with subcontractors and vendors while soliciting and evaluating quotations.
- Communicate project schedules, bid requirements, and addenda to vendors and subcontractors.
- Create and maintain bid lists to ensure appropriate coverage for each project.
- Enter and maintain project and estimating information within estimating software and internal systems.
- Collaborate with Project Managers, Engineers, Operations, and Sales to ensure estimates and scope assumptions align with operational capabilities.
- Ensure bid documents, vendor quotations, subcontractor information, scope assumptions, and project details are accurately transferred to the Project Management team.
- Review drawings and project costs with Project Management and identify potential risks or areas of concern.
- Conduct site visits as needed to support retrofit opportunities and estimate development.
- Maintain effective communication with customers, vendors, subcontractors, and internal departments.
- Submit bids, budgets, and estimating deliverables within established deadlines.
Qualifications
- Bachelor's degree in a relevant field preferred.
- 3–5 years of experience within construction, project environments, estimating, or related business operations.
- Experience with or willingness to learn Mechanical Systems, BMS, BAS, HVAC controls, and related technologies.
- Understanding of low-voltage control systems, controls integration, and mechanical equipment applications.
- Understanding of chilled water, condenser water, and refrigeration systems.
- Ability to read and interpret plans, specifications, addenda, drawings, and RFIs.
- Understanding of estimating principles, margins, and project costing.
- Experience using estimating software.
- Proficiency with Microsoft Office, including Excel, Word, and Project.
- Strong analytical, problem-solving, and attention-to-detail skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects, deadlines, and competing priorities.
- Strong relationship-building and collaboration skills.
- Self-motivated with a proactive approach to learning and professional development.
- Bilingual English/Spanish is a plus.
